PPK in Moscow completes HIFLEX installation: First integrated MIS assisted workflow in Russia

PPK or Pervy Polygraphichesky Kombinat, LLC, is one of the largest of more than 7,000 printing companies in Russia. Working with the very latest technologies, PPK supplies newspapers, magazines and sophisticated commercial printed products, meeting the highest international standards, from an over 30,000 Square Meter printing facility on the edge of Moscow. PPK boasts a workforce of over 500 qualified employees, who together handle a print volume of 100 million copies annually.

Transparency and efficiency

Faced not only with an increasing volume of orders, but also with an ever greater diversity of printed products, PPK came to the conclusion that it was necessary to implement a company-wide management information system (MIS). “The main objective was to improve transparency in the individual areas of the company and to further enhance the efficiency of our activities through automation,” says Dmitry Dementyev, Managing Director at PPK. “We looked at various solutions, both Russian and Western European products. But taking into account the fact that we intended to integrate our printing presses into the system in the near future, there was only one solution which truly satisfied our high demands; the system from HIFLEX.”

First fully automated MIS installation in Russia

PPPK is the first print company in Russia to implement integrated MIS workflow automation with their new HIFLEX MIS. The newly installed system and its impressive savings potential were recently presented to a wider trade audience within the framework of a well-attended press conference. Journalists, long-standing partners and other interested print companies gathered at PPK to witness the impact of the MIS installation, first hand. HIFLEX Managing Director Stefan Reichhart was also present, and commented: “We have implemented hundreds of customer projects worldwide, however, PPK was our first customer in the Russian market and we are very excited about their success in working with us. The translation into a Cyrillic language was a challenging task in the forefront of the installation but we managed it quite well and are pleased with the results. At the same time, a number of the typical concepts of a Western MIS, such as the structuring of a catalogue of services or the definition of contribution margins, are still relatively new in Russia.” I suggest that you delete or reword this as it is unclear, too technical and esoteric.

MIS-assisted workflow in Russia.

Impact of the installation

Due to the automation capabilities provided by their new HIFLEX MIS, PPK is able process six times the number of quotes they previously processed and reduce the time between quotation and invoice from one day to 15 minutes. This is because in the HIFLEX Workflow, the process is significantly flattened and now involves only one instead of three departments. This adds up to a dramatic boost to efficiency, without requiring any additional staff.

HIFLEX MIS has also automated management workflows at PPK. Manufacturing capacity utilization is now planned digitally and efficiently in their HIFLEX Scheduling module. All involved departments have access to the production planning in one central database and are able to specify production-relevant deadlines with reliability and ease. Corresponding telephone calls and meetings are thus reduced to a minimum, reduced by 60% over the previous workflow. The job dockets are similarly drawn up much faster and are created in just a few minutes. Prior to the implementation of the MIS, around three hours had to be allowed for the definition of a new job. “This is an amazing reduction in overhead and increase in speed from what we previously did.” comments Dmitry Dementyev. This is a quote that you should add – you need to quantify the improvement or have someone comment on the impact of this improvement.

In addition, the company management now has access to extensive statistical analyses with their new HIFLEX MIS and can call up more than 100 reports to provide crucial information to manage their huge company of over 500 employees. Evaluations are simple and easy to access, not to mention a complete overview of the production costs. All data are determined automatically within the system. “The statistics compiled in the MIS are enormously important for strategic management decisions and secure us a decisive competitive advantage,” says Dmitry Dementyev, and for this reason, he is certain that the company will continue to be successful in their markets, even in economically difficult times. PKK Management is also able to retrieve extensive operations and sales information, for any time period, and can in this way, analyze seasonal effects, for example.

Further benefits for the customer

The workflow automation made possible by HIFLEX brings equal benefits for PPK's customers. “The time required for quotation generation and administrative tasks in order processing has been reduced to a minimum. For our customers, that means a much faster job turnaround and significantly improved scheduling reliability.” States Dmitry Dementyev.
